Our Commitment to Our Donors
As a donor submitting personally identifying information (PII) to us or any of our staff, you consent to the terms and conditions of this policy and to our processing and use of personal information for the purposes stated below. This policy applies to all information received by RMHC of the Bluegrass, both online and offline, on any platform, as well as any electronic, written, or oral communications.
“Personal Information” is information that identifies you personally, such as your name, address, telephone number, and email address. We collect your name, email address and other contact information if you register for an event. We also collect your name, email address, telephone number and payment information when you make a contribution, either on our website, at a special event, over the phone, or by mailing in a check. The above list provides a sample of personal information that may be collected by RMHC of the Bluegrass. From time to time, we may collect personal information from you in ways not described above. The PII that you share with us is encrypted and stored offsite in the cloud.
We will not sell, share, or trade our donors’ names or personal information with any other entity, nor send mailings to our donors on behalf of other organizations. This information may be shared with staff, board members, volunteers, and consultants only on a confidential and need-to-know basis. Sensitive data is limited to these users through donor database security control settings.
To the extent any donations are processed through a third-party service provider, our donors’ information will only be used for purposes necessary to process the donation. While a majority of our credit card donations are processed directly through an online platform, it is our procedure to destroy credit card information immediately after processing any manually entered transactions. All credit card payments are processed through a PII compliant 3rd party processor (Blackbaud or IATS).
This confidential information is kept on file for IRS purposes. It is also used to analyze overall giving patterns to make more accurate budget projections, to understand donors’ interests in our mission, and to update them on the organization’s plans and activities.
Upon a person’s (or a person’s authorized representative’s) request that RMHC of the Bluegrass discontinue further contact, the person’s name and address will be promptly modified in the RMHC of the Bluegrass donor database to ensure that no further contact is made with the person. Beginning July 1, 2018, RMHC of the Bluegrass will maintain an electronic record of all requests for discontinuance of contact. The records of individuals who have made such a request will be maintained by RMHC of the Bluegrass to the extent necessary for legal or liability purposes.
Donor has the right to review information that we have collected about you. To request your information, please contact our Business Manager and your request will be processed within 7 – 10 business days.
